It's not very often you find an event software company that actually uses its own tools for its own events. But here at InEvent, we put our money where our mouth. We use our own platform to run our events too, all year round. Throughout the year, the InEvent team has been hosting a series of intimate VIP experiences, designed to bring event professionals together from across the globe in a relaxed, low-pressure setting to discuss the future of events and bounce ideas off one another.

One of these experiences took place in March 2026: an evening at the Miami Open quarterfinals. We were courtside for one of the most exciting nights of the tournament. The plan for this event was simple but ambitious. We wanted to invite a small, handpicked group of event planners, marketers, and decision-makers to enjoy world-class tennis together, with premium hospitality and none of the corporate pressure that usually comes with events like this. The final guest list included professionals from organizations such as ACAMS, Lufthansa Industry Solutions, Newfront, and others.

But behind this simple, relaxed evening was a multi-team effort, finding the right guests, keeping them engaged, and managing a guest list that kept shifting right up to the big day. Most of that coordination happened remotely, long before anyone set foot in Miami. And our own event platform was a lifesaver in making it happen.

Pulling off a night like this isn't as simple as sending out a few invites and picking a restaurant. The closer we got to the big day, the more it became clear that this kind of event comes with its own set of problems, ones you only really see once you're knee-deep in trying to make it happen.

Finding the right people, not just any people

We weren't merely trying to fill a room with any number of people. We were trying to fill just five seats with the right kinds of people. That meant reaching out to a huge pool of event planners, marketers, and decision-makers, and then sitting with all the replies and applications that came in, trying to figure out who actually belonged at this table, which turned out to be a different kind of hard than just getting people to say yes. It's getting the right people to say yes.


A guest list that kept moving

Even after we thought we had our five guests, things constantly shifted. Some people who confirmed early would suddenly go quiet and not rsvp. Some dropped off closer to the event date. A few just didn't show up to confirm at all. So we were never really done building the guest list, and we needed a cost-effective way to keep refilling the pipeline by inviting new people in small batches, right up until the deadline.


Keeping communication clear and consistent

With approvals, rejections, and follow-ups going out, and details changing along the way, it would've been easy for something to slip through the cracks. At one point, an early date mix-up meant some of our comms said the 25th and others said the 26th. We had to catch it, fix it, and make sure every single guest, no matter when they were reached, knew exactly when and where to show up.


Coordinating across teams without missing a beat

This wasn't a one-person job. Sales, Customer Success, Inside Sales, and Marketing all had a piece of this, from pulling contact lists to inviting existing clients, reaching out to prospects, and getting the messaging and landing pages ready. And most of it happened asynchronously, across different time zones and schedules, long before anyone got on a plane to Miami.

All of these problems meant we had to find a way to solve them, fast. With multiple teams working together to pull this event off, we leaned on our own platform from day one.

Tracking where every guest came from

The first thing we did was set up UTM links across every team's outreach. Sales, Marketing, and the rest of the team were all reaching out through different channels, and we needed to know what was actually working. With UTM tracking built directly into the platform, we could see exactly where each submission was coming from, rather than guessing.


Sorting through who belonged at the table

Next, we built a registration form directly on the event platform. With over 206 submissions for just five available seats, we needed a structured way to sort through who we were hearing from, rather than blindly scrambling through a flooded inbox. The registration form gave us that structure from the start.


Turning responses into decisions, automatically

Once responses started coming in via the registration form, we set up approval flows and follow-up sequences using the platform's email feature. When someone got approved, the email went out from the platform. When someone didn't make the cut, they received a rejection email and were immediately removed from the attendee list, with no manual cleanup required. We even had a dedicated sequence for guests on the waitlist, and for those ultimately selected for the experience, so nobody fell through the cracks. And when people went quiet after confirming, we used the platform to send a nudge and follow up. This was especially easy because everything lived on one platform, every team working on this had visibility into who was approved, who was rejected, and who was still pending, without needing to ask around.


Keeping every message consistent

With this many emails going out across approvals, rejections, confirmations, and follow-ups, consistency mattered. We didn't use a dedicated landing page for this one because everyone was directed straight to the registration form, which added a layer of complexity to tracking. But every email, every update, and every piece of messaging came from the same place, which meant guests always knew where they stood.

By the time the dust settled, the numbers told a story of a smashing success. Out of 206 submissions for just five seats, the streamlined approval process let the team move fast and stay sharp, sorting through every application without losing a single attendee.

The night brought together professionals from organizations like ACAMS, Lufthansa Industry Solutions, Newfront, and the New York Racing Association, which was exactly the kind of room InEvent set out to build.


Every approval and rejection went out without anyone manually updating a single spreadsheet, and every team involved, Sales, Customer Success, Inside Sales, and Marketing, could see exactly where things stood at any moment, without needing to ask around.
