The Maryland Center for School Safety (MCSS) is a state organization dedicated to improving safety in schools by providing resources, training, and education to schools, communities, and law enforcement. For their annual PREPARE conference, MCSS focused on bringing together experts and stakeholders to create safer learning environments.
For the PREPARE 2024 School Safety Conference, MCSS needed an in-person event solution that would provide their attendees with easy access to the agenda, and enable networking. Additionally, they needed a way for the staff and attendees to ensuring smooth check-ins and movement around the event. MCSS wanted an event solution that would allow attendees to easily access these activities, scan QR codes, and book appointments with key stakeholders.

With over 653 attendees expected to participate, the Maryland Center for School Safety, the Maryland Center for School Safety (MCSS) required an event platform that could handle real-time engagement, streamline check-ins, and improve networking opportunities. The use of custom apps, badge printing integrations, networking & appointment setting feature allowed the attendees to move swiftly through registration, and network with fellow attendees.
With access to the event agenda via the custom mobile app, real-time updates, and venue information, attendees could navigate the event effortlessly, staying informed and actively participating in key activities. The app’s success was evident, with 44% of attendees downloading it, while others engaged through the web app, boosting participation in event activities like artwork voting, photo galleries, and feedback collection.
The badge printing and QR code scanning system significantly improved the efficiency of event operations. Attendees were able to swiftly check in and enter various sessions, reducing wait times and ensuring a smooth flow throughout the event. This ease of navigation not only elevated the attendee experience but also lightened the operational load on the event staff, enabling them to focus on higher-priority tasks.
Following the event, MCSS used custom feedback forms to collect valuable insights from attendees. This post-event feedback allowed MCSS to gain a deeper understanding of attendee satisfaction, offering actionable insights that could be applied to future events. By leveraging these insights, MCSS was able to improve event planning and tailor future conferences to better meet the needs and expectations of participants, ensuring continued success.
The Maryland Center for School Safety plans to keep improving their events by offering even more ways for attendees to connect, engage, and learn. By focusing on attendee experience and school safety initiatives, future conferences will continue to drive meaningful discussions and provide practical solutions to make schools safer.
