HSM Expo, the largest annual management event in Latin America, gathered 40,000 participants to learn from leading cases and global speakers.

About

HSM is a company founded in 1987 to innovate executive education in Brazil through the development of leaders and organizations.

Currently, HSM brings trends from the global scenario to the Brazilian reality in a way that can impact the performance of companies and their teams. HSM has numerous efforts and actions aimed at transmitting this knowledge. Among them are:

  • Events with customized programs of executive education for companies.
  • Distribution of content across channels and media platforms.
HSM also has an education group with more than 100,000 undergraduate and graduate students.

Challenges

InEvent worked with HSM in the biggest management event in Latin America, HSM Expo. The event is formed by diverse workshops, simultaneous lectures and presentation of cases for executive education. The event also has a fair to highlight the best and most innovative corporate education practices. The participants of the event are clients, employees, sponsors and people engaged with corporate education.

This year challenge was to integrate information and data end-to-end. The prerequisite was to segment the calendar information according the guest ticket type. In case there was no integration between the systems (implemented by a third party company) and the event management, the differences between the tickets and the lectures access control would be impaired. This could impact on the attendees experience as a whole.

    Management platform for events

    The platform is an event management software to organize the event and keep end-to-end efficiency. HSM signed up for the InEvent platform to manage the participants of its HSM Expo event. The event platform has more than 50 features with simultaneous data availability and full control of the event's app features. Past and future event data is stored and can be accessed and analyzed at any time.

    Mobile platform

    The event app had some customizations based on the prerequisites presented by HSM to the InEvent team. Some of them were: the colors of the application, logo of the event and, in particular, the general agenda separated from the participant personal agenda. The agenda needed to be customized due to the different types of tickets of the event. The event also had different rooms, available according to the pass acquired by the participant, which facilitated the search and filter of the participant in his experience of building his personal agenda of the event.

    The app news feed was used for event updates, networking and submitting questions. Participants were able to interact with the speakers in real time during the event. HSM event management team managed to moderate the questions through InEvent management platform. The app was available for Android and iOS, with support for Portuguese, English and Spanish.

    API integration

    The event management platform has a simple API and easy integration with other systems. A company was hired by HSM to develop a custom registration and payment system using the InEvent platform. InEvent provided the technical support needed to ensure that the integration with the API took place in the best possible way and the event organization team had the data of the participants of the event. This way, everyone who bought the tickets could download the app and view their segmented calendar according to their enrollment. Different tickets gave access to specific activities, which could be viewed by the participants from the ticket category that they acquired.

    The InEvent API, documented with a testing console and accessible by certified partners, provides go-ready SDKs and modules to be quickly configured and integrated with systems already purchased by HSM. Partner products have thus been configured to be compatible with the InEvent platform and thus integrate all stages of accreditation, hotsite, totems, registration and mobile technologies into a single channel.

    OnSite support

    OnSite is InEvent's complete support that ensures the management of all event content, support across channels including WhatsApp, email, video conferencing or over the phone. Also, the InEvent team was onsite during the three-day event, providing operational support to HSM and its partners.

The event platform allowed the control of the participants in each of the workshops and simultaneous lectures during the event. Integration with the API was critical to manage data efficiently and in real time.

The event was attended 7,000 people, with live streamings to Itaú, Bradesco and other global companies, generating an audience of over 40,000 participants.

With the integration of the InEvent API, HSM ticket sales partner and HSM event management team created a differentiated experience for attendees, both in person and remote.

The management and control of information such as: moderation of questions, segmented agenda according to the participants chosen ticket, exclusive app of the event to improve the integration and engagement between the participants and security were essential points for a successful business case.
